Several years ago, we had a large association contact us because they needed to cancel their account. Following our standard protocol, I just had one last question to ask, “What is making you cancel?” And here is the response they gave me - 

“We cannot get our volunteers to track hours.” (Sigh..)

So, I open my desktop folder and forward them this exclusive ebook. We've been there many times with various organizations in the last 10 years and along with recruitment, retention, & recognition (which we talk about in the ebook), one of the biggest things that coordinators continue to struggle with is getting their volunteers to track hours. Before we begin, what excuses do you get from your volunteers why they cannot track?

  • “I don’t have time for this”
  • “I can just do it later”
  • “I don’t understand what I need to do”
  • “Nobody is answering my questions”
  • “Nobody told me I needed to track time”
  • “I’m not tech-savvy enough”
  • “I prefer to do it differently”

So let me ask you, how do you usually respond to these answers? 

You might take it personally, you might write the volunteer off, or you may just consider volunteer time tracking to be one of those hopeless endeavors. 

All of us volunteer organizers heard this and felt this way at some point.  

It’s a phase that we all have to go through… a phase of cat-wrangling volunteers to do something they won’t do.  

However, it is just a temporary phase, a phase that will pass, but only through analyzing the reasons of WHY volunteers won’t track their hours: 

Do you have the right volunteer structure?

Do you have a legitimate reason to track hours?

Is the right support in place?

Woo, you may be thinking, “That sounds like a ton of work!”  However, to be successful, it’ll take work initially.  If you don’t have time to do it yourself, at least read our e-book, which we distilled our experience of hundreds of volunteer organizers over the last 10 years.

We want you to succeed as a volunteer organizer, especially with time tracking!  Maybe it’ll take a few weeks, few months, or a few years, however, don’t let the work you do now all be for nothing. Let’s do it right from the beginning to ensure success for you and for your predecessors.
