Product Update: Q4 '24 - Q1 '25

Throughout Q4 and Q1, the Track it Forward team has been working to bring users great new features and improved functionality of the web and mobile apps. We’re excited to share that we’ve implemented new administrative capabilities, event features, and more!

Administrative Capabilities

New 'Select All' option when applying activities to milestones

A "select all" option for conditional milestone activities and type of volunteer has been added. This makes it easier to select or unselect all activities at once, which can be useful if most activities apply to a specific milestone. Now admins can save time when setting up new milestones!

Option to sort activities alphabetically

The activity list can now be easily alphabetized, making it simpler to view and manage activities. Click the Up Arrow next to “List some categories below, one per line” on your hour log settings page to automatically sort activities from A-Z.

Ability to manage organizers (for Advanced Verifications)

Volunteers can now edit the Organizers list for Advanced Verifications to remove outdated entries, ensuring the list remains current and relevant for better management.

When a volunteer is on their hour log, they can click “manage organizers” which will allow them to edit and delete organizers from their list.

Managed Volunteer Import Update

If you need to import managed volunteers or make bulk changes to their profiles, you can now do so from the ‘Import Managed Volunteer’ tool. Similar to the ‘Import Volunteers’ tool, you will set up a spreadsheet with all of the profile field information when importing managed volunteers.

Manage Photos

You can now bulk delete unwanted photos from your site, making it easier to organize and retain only the images you need.

To do this go to Organizer Dashboard > Photos > Manage Photos. You can use the filters to search by Volunteer who submitted the photo, date volunteered range, or submission status to help you narrow down your photos. Use the checkboxes to select which photos you want to delete and click the orange “Delete” button to remove them from your site permanently. 

Events Updates

Send an email to select volunteers from event

The ability to customize which shift receives an email from an event has been added, allowing managers to send targeted communications instead of mass emails to all RSVP'd volunteers, making messages more relevant and efficient.

Under the event, select ‘Contact Attendees’ > ‘Which volunteers do you want to send a message to?’ 

Here you will be able to choose a specific shift.

New ‘Provide Reason’ message when volunteers cancel an RSVP

A new optional Message to Organizer text box is available for volunteers to provide a reason when canceling their RSVP for an event. This allows organizations to collect more information and improves communication. 

Add 'Sign Up Again' Link for Multiple RSVPs

The RSVP feature now allows volunteers to more intuitively register multiple people under a single volunteer account. This is useful for instances where multiple volunteers share a single account. This improvement streamlines the sign-up process and enhances efficiency for users.

After a volunteer RSVP’s, they will see a “sign up again” link under the green Confirmation button of their previous RSVP.

Mark users as "No-show" when verifying Events hours

Volunteers can now be marked as "no-show" when verifying event hours online, reducing confusion by clearly indicating all hours as either verified or no-shows. This improvement streamlines the verification process and helps prevent duplicate entries.

From the verify hours page, unselect the No-show volunteers from the “Attended” column. This will automatically gray out their hours at 0. After clicking “Log Hours” on the verify page, you will see they were marked as a no-show under their name. 

Additionally, when you run the Event RSVP report, there is a new column titled “Attendance Status.” The Status can be “Attended/Logged Hours” or “No Show.” If the status is blank, this means that the volunteer hasn’t logged hours associated with the event.

This report can be run from the Reports page or from the specific event > Export.

New ‘And’ Logic Added to Event Privacy Restrictions

Event privacy restrictions now support ‘and’ logic, allowing for more precise control over who can RSVP for events.

When you go to edit or create an event, under the privacy section, you will now see two sections; the normal ANY logic section and then a ‘Require Volunteers to Meet Additional Criteria’ section. If selections are made in both sections, volunteers will see the event if they match ANY selection in the first section AND they match ANY selection in the second section.

This new feature enables events to be shown only to volunteers who meet multiple criteria. For example, a school might use this feature to require volunteers to have both completed required training and be a parent of a first grade student in order to view and RSVP for certain events.
