Parent-Teacher Organization (PTO)

St. Mary's has several officer positions available. Volunteering for the PTO is a way to give back to the St. Mary's community and make critical decisions on how we monetarily support the school and bring our communities together.

Roles and Responsibilities
President
- Support the mission of the PTO
- Set the agenda for, provide reasonable notice to PTO members and officers of, and preside at all PTO general meetings
- Define, in collaboration with the PTO Board, the calendar of PTO-sponsored events for the following school year
- Oversee all PTO officers and committees in the performance of their respective assigned duties.
- Appoint all PTO fundraising, service project, and event chairpersons.
- Assign PTO officers and other members to fundraising and other committees necessary for the fulfillment of the PTO’s mission.
- Exercise general supervision over the financial affairs of the PTO. Have joint signature authority with the Treasurer on the PTO cash account.
- Together with the committee chair of any fundraising activity, make operational decisions concerning fundraising activities.
- Act as the PTO Representative to the School Advisory Board (SAB), pursuant to the statutes thereof.

Vice President
- Assist the President and, in the absence or disability of the President, perform all the duties and have all the powers of the President.
- Assume the office of the President in the following fiscal year. Works closely with the PTO President, in preparation for becoming the PTO President the following year
- Attends monthly meetings
- Assumes all responsibilities including volunteering when needed, as well as other duties as called on by the PTO President
- Represents and supports all St. Mary’s PTO and school events
- Steps in to lead and/or support any committee that hasn’t been filled for the school year
- Ensures that PTO website is accurate and up to date with relevant information for parents and volunteers
- Oversees all communication efforts between the PTO and parents to ensure we are engaging and communicating with the school community as needed, and when opportunities for involvement arise
- Publishes the monthly newsletter
- Acts as the Head Room Parent - supports all Room Parent questions, send them information to share with parents, encourages volunteering and shares opportunities to volunteer, and represents Room Parents at PTO meetings

Treasurer
- Have charge and custody of, and be responsible for, all PTO funds.
- Keep exact records of all financial transactions.
- Attends monthly meetings
- Prepare and submit biweekly, monthly and annual reports to the PTO Board and the School Advisory Board (SAB) on the financial condition, receipts and disbursements of the PTO, and the receipts and disbursements attributable to each significant PTO fundraising activity.
- Have joint signature authority with the President on the PTO cash account
- Prepares a year-end financial report, and files all required tax forms
- Provides budgetary advice to Committees

Secretary
- Keep minutes of all PTO general membership meetings and PTO Board meetings.
- Conduct the official correspondence.
- Keep records of all PTO activities.
- Make all records available to PTO members.
- Carry out annual PTO Board nominations and elections processes as specified in the PTO Bylaws.
- Discharge responsibilities in connection with nominations and elections as specified in Article 6.

Teacher Liaison
- Primary point of contact between the PTO and the school’s teaching staff.
- Communicates teachers' needs, concerns, and suggestions to the PTO, as well as relaying PTO updates and initiatives to the faculty.
- Works to foster a positive relationship between teachers and parents, ensuring a collaborative approach to supporting student success and enhancing the school community.

Volunteer Committee Chair
- Creates/manages signups for every event in Track-It-Forward.
- Collaborates with President and publicizes volunteer opportunities
- Follows up with potential volunteers to ensure events have enough support

Special Event Committee Chair
- Oversees and coordinates all special events organized by the PTO with the chairs/co-chairs of those events
- Leads a team of volunteers, planning event logistics, managing budgets, securing vendors, and ensuring that events align with the goals of the PTO
- Works closely with the PTO President to ensure all events align with St. Mary’s Mission
- Coordinates in-school social events/receptions, including “Welcome Back” Coffee, Back to School Night refreshments, Grandparents Mass Reception. Assists with thank you notes.

Hospitality Committee Chair
- Welcomes new families to the school throughout the year
- Follows up with families who tour the school
- Recruits other St. Mary's families by grade to help welcome families
- Coordinates food for staff for parent teacher conferences, support teacher birthday gifts
