Black and Gold Night of Hope

We’re hosting the first-ever Black & Gold Night of Hope in partnership with Wish Upon a Teen, which is a fall formal for teens (13+) bravely facing life-limiting medical conditions on November 16 at our very own BMO Stadium. The evening will begin with outfit selection, hair and makeup, and lead into an unforgettable evening of dancing, celebration, and joy.
EVENT DAY TIMELINE:
Morning – Setup (9:00 AM – 2:00 PM)
• Venue opens for staff/volunteers.
• Décor, staging, and event space set up.
• AV check, sound/lighting tests.
• Catering setup and service prep.
Afternoon – Guest Arrivals & Get Ready (3:00 PM – 6:00 PM)
• 3:00–6:00 PM: Dress + jewelry selection opens.
• 3:00–6:00 PM: Hair & makeup sessions.
• 3:00–6:00 PM: Suit fittings & barber.
• 5:30–6:00 PM: Final touch-ups, photos with family, staging for entry.
• 6:00-6:30PM: Vendor Clean Up
Evening – The Prom (6:00 PM – 9:00 PM)
• 6:00 PM: Guest arrival and dinner is served
• 6:30 PM: Dancing and entertainment begins (photobooth, caricature artist, DJ)
• 8:30 PM: Closing remarks, group photo, and last dance.
• 9:00 PM: Event concludes; families depart.
Post-Event (9:00 PM – 10:00 PM)
• Breakdown and clean-up.
- Organize clothing racks, hang dresses and suits, organize accessories
- Prepare glam stations (hair, makeup, styling)
- Decorate and stage the space (balloons, signage, mirrors, lighting, etc.)
- Organize check-in tables and welcome areas
- Ensure all stations are ready before guests arrive
- Ensure volunteers are stationed at each location
- Welcome and check in teens and caregivers,
- Guide guests to assigned stations (hair, makeup, attire, etc.).
- Serve as “floaters” to assist with wardrobe selection and fittings
- Keep spaces tidy and help restock/organize as needed
- Provide friendly, encouraging support to ensure every guest feels special
- Support vendors with pack-up
- Escort guests to the dance and dinner areas
- Assist with photo & caricature stations
- Support with gift bag distribution
- Support guests with accessibility or comfort needs
- Encourage dancing and celebration
- Begin light teardown and clean-up at the close of the event
