Event Overview
Purpose: To bring together residents, families, staff, and volunteers for a summer BBQ celebration.

Support: Food items will be sourced and partially pre-prepared to simplify setup. Volunteers and leadership will assist with setup, serving, and cleanup.

Timeline

9:45 AM Set up tables, chairs, sunshades if needed Setup team
10:00 AM Prep food station (open buns, prep veggie trays, chill drinks) Food prep team
10:15 AM Music setup (musician soundcheck or Spotify speakers) Music lead
10:30 AM Start BBQ, warm burgers and hot dogs Grill lead
11:00 AM Guests arrive – welcome and serve lunch All volunteers
11:30 AM Monitor food supplies, refresh salads and fruit Food runners
12:30 PM Offer ice cream Serving team
12:45 PM Begin gentle cleanup (plate collection, packaging leftovers) Cleanup team
1:00 PM Final cleanup and thank yous Everyone

Pop and bottled water (Costco)

Supplies:
Plates, napkins
Plastic cutlery
Cups for drinks
Coolers or ice buckets for drinks
